1. Who we are

Nautiqs builds software for maritime compliance. In this policy, “Nautiqs”, “we” and “us” mean Nautiqs Limited (NZBN 9429051554842). “You” means anyone who visits our website, joins our waitlist, corresponds with us, or uses our software.

We are the agency responsible for personal information we hold about you, except where we hold it on behalf of a customer — see section 4.

Nautiqs is a business tool and is not directed at children.

2. What we collect

We collect only what we need for the purpose at hand.

Your name, email address, and anything you choose to write in the optional note.
Correspondence
What you send us by email, and our replies. If we meet, our own notes of the conversation.
Pilots and trials
Names, work email addresses and roles of the people your organisation asks us to give access to.
Website use
Standard server logs, including IP address, browser type and the pages requested, and, if you accept analytics cookies, how the site is used. We do not run advertising.
ROI calculator
The answers you select and the estimate produced. We may collect this regardless of your cookie choice, and it is not linked to you.

We do not ask for, and would rather you did not send us, sensitive information such as health, biometric or crew disciplinary records outside a signed agreement that covers it.

3. How we use it

We use personal information to reply to you, to run the waitlist and tell you when access opens, to arrange and run pilots, to provide and support the software, to keep it secure, and to meet our legal obligations.

If you join the waitlist we will email you about Nautiqs. Every email carries an unsubscribe link, and unsubscribing removes you from the list.

We do not sell personal information, and we do not share it with anyone for their own marketing.

4. Customer data

When your organisation uses Nautiqs, the records you put into the system remain your organisation’s. We hold and process that material on your organisation’s instructions, under the agreement between us.

If you are a seafarer or an employee and you want to know what an operator holds about you in Nautiqs, ask that organisation. We will help them answer, but we cannot release their records to you ourselves.

Each organisation’s data is kept separate and reachable only with that organisation’s own keys.

5. AI and model training

Nautiqs uses AI models as part of the service. Two commitments apply.

We do not train models on your data, and we do not allow our model providers to train on it. Your material is used only to provide the service to you.

Where the service draws on an external source, it says so and cites it.

Nautiqs does not make automated decisions that have a legal or similarly significant effect on you. Everything the system produces is a draft for a qualified person to review.

6. Who we share with

We share personal information with service providers who help us run Nautiqs — cloud hosting, email delivery, error monitoring, analytics and model providers. Each is bound by contract to use it only for the service they provide to us.

We will also disclose information where the law requires it, or to establish or defend a legal claim. If we are ever asked for a customer’s data by an authority, we will tell that customer unless we are legally prevented from doing so.

If Nautiqs is ever sold or merged, personal information may transfer as part of that business. The buyer would be bound by this policy until you are told otherwise.

7. Where it is held

Customer data is held in the region agreed with the customer. Our default region for Australian and New Zealand customers is Australia.

Some of our service providers operate from other countries. Where personal information is sent overseas, we make sure it is protected by standards comparable to those in this policy.

8. How long we keep it

Waitlist details are kept until you unsubscribe or ask us to delete them, and for up to twelve months after that so we do not re-add you by mistake.

Customer data is kept for the term of the agreement and the retention period set in it. Compliance records often have to be retained for years, so we keep them for as long as the customer requires and then return or delete them on request.

Correspondence is kept for as long as it is useful to the relationship, and then deleted.

9. Security

Nautiqs is built to ISO 27001 controls. Data is encrypted in transit and at rest, access is limited to the people who need it for their work, and administrative access is logged.

Records keep their full history. Changes are added and attributed rather than replacing what was there before.

If a breach occurs that is likely to cause serious harm, we will notify the people affected and the relevant regulator within the time the law allows.

10. Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or ask us to stop emailing you. Write to the address in section 13 and we will respond within twenty working days.

These rights are given by the Privacy Act 2020 (New Zealand) and the Privacy Act 1988 (Australia).

11. Cookies

This website uses the cookies it needs to work, and, if you accept them, analytics cookies that help us understand how the site is used. We do not use advertising cookies. If you choose Reject, no analytics cookies are set.

The application uses a session cookie to keep you signed in.

12. Changes

We will update this policy as Nautiqs grows. The version and effective date at the top of the page tell you which one you are reading. If a change materially affects how we handle your information, we will tell you before it takes effect.

13. Contact and complaints

For anything in this policy, including a request about your own information, write to privacy@nautiqs.ai.

Our Privacy Officer can be reached at the same address. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner in New Zealand, or to the Office of the Australian Information Commissioner.
